3. Why we use your data and our legal bases

  • To answer business inquiries and follow up commercial relationships — our legitimate interest in running and developing our business.
  • To handle sample requests and requests for commercial information — steps taken at your request before entering into a contract, and our legitimate interest in commercial follow-up.
  • To handle job applications — steps taken at your request before entering into an employment contract.
  • To measure website use with Google Analytics — your consent, which you can withdraw at any time.
  • To comply with legal, administrative and accounting obligations, and to establish or defend legal claims where applicable.

4. Contact requests

When you send a contact form, the data listed in section 2 is stored in our secured database and forwarded by e-mail through Microsoft 365 to the colleagues responsible for the department concerned. We use your details only to answer your question and to follow up the request.

5. Sample requests

When you request samples, we use your details and shipping address to assess the request, to advise you on the right product and to deliver the samples. The request is stored in our secured database and forwarded by e-mail through Microsoft 365 to the colleagues responsible.

6. Job applications

Applications and CV files are stored in secured storage that is accessible only to authorized staff, and forwarded by e-mail through Microsoft 365 to the colleagues responsible for recruitment. We use this data only to assess your application.

7. Website analytics and external media

Google Analytics 4 is loaded only after you allow analytics cookies. We never send names, e-mail addresses, telephone numbers, CVs or the content of your message to Google Analytics. Analytics events only record that a form was submitted or that a document was downloaded, without form content.

Our hosting platform also measures aggregated visitor numbers server-side, without cookies. Google Maps and Vimeo load only after you deliberately activate that content. Full details are in our cookie policy.

8. Who receives your data

Form data is stored in a secured database hosted in the EU region and forwarded through Microsoft 365 to the authorized employees who handle your request. Where relevant to your request, your data may also be accessible to the authorized local sales representative for your region.

We also use service providers that process data on our behalf, such as our website hosting and database platform, Microsoft 365 for e-mail, and Google Analytics where you have given consent. We do not sell your personal data.

9. International data transfers

Our database and website hosting are located in the EU region. Some providers, such as Google and Vimeo, may process data outside the European Economic Area, in particular in the United States. Where that happens, it relies on the transfer safeguards those providers put in place, as described in their own privacy policies.

10. How long we keep your data

We retain personal data only for as long as necessary for the purpose for which it was collected, including handling and following up requests, maintaining relevant business relationships, meeting legal and administrative obligations and establishing or defending legal claims. The applicable retention period depends on the nature of the request, the subsequent relationship and any legal requirements.

Fully anonymized statistical data may be kept longer, because it can no longer be linked to an identifiable person.

11. How we protect your data

Access to submitted forms, applications and CV files is limited to authorized staff and protected by individual accounts and role-based permissions. Data is transmitted over encrypted connections and stored in a secured database with access controls. CV files are kept in private storage and are not publicly accessible.

12. Your rights

Under the GDPR you have the right to:

  • Access the personal data we hold about you
  • Have inaccurate data corrected
  • Have your data erased
  • Ask us to restrict processing
  • Object to processing based on our legitimate interests
  • Data portability, where applicable
  • Withdraw your consent at any time, for example for analytics cookies, without affecting processing that took place before the withdrawal

To exercise these rights, contact us at info@empro-europe.com. You can change your cookie choice at any time through “Cookie settings” in the footer.

13. Complaints

If you believe we handle your personal data incorrectly, please contact us first so we can resolve it. You also have the right to lodge a complaint with the Belgian Data Protection Authority.

14. Changes to this privacy policy

We may update this privacy policy when our website, services or legal obligations change. The date at the top of this page shows when it was last updated.
